  Openevent sits alongside your PMS rather than duplicating it, the AI pulls availability, rates and account history into every reply so your team isn't keying data twice. Where a deep two-way sync isn't live for your specific PMS yet, we'll tell you on day one rather than discover it on day thirty.
• How does the AI actually reply to an RFP, and what stops it sending something wrong in our name?
  The AI drafts a full reply in minutes using your real availability, your rates, your event spaces and your tone, but nothing leaves the building without your approval unless you switch on autopilot. You can set thresholds (high value, long lead time, non-standard requests) that always require a human sign-off.
• Can it actually reply in German, French and Italian, properly, not Google-Translate properly?
  Yes. Openevent is Swiss-built and replies natively in DE, FR, IT and EN. The AI detects the inbound language and matches it, including formal German register where appropriate. Your team reviews before sending, so the tone stays yours.
• Where does our data live, and what about GDPR and Swiss data protection?
  Openevent is a Swiss company (MORE LIFE Hospitality GmbH, Zürich) and we treat guest and planner data under Swiss FADP and EU GDPR. You own your data. If you ever leave us, you get a clean export, no hostage situation.
• What's the real cost, we've been burned by per-seat and per-registrant pricing before.
  1%* on payments processed through Openevent. Stripe fees are separate and standard. No per-seat charge, no setup fee, no per-registrant fee, no charge to load your menus or BEO templates. If you don't process payments through us, you don't pay us.
• How does it stop us double-booking the ballroom?
  Every hold, tentative and definite lives on one calendar that the whole team sees in real time. The AI checks availability before it ever proposes a date, so the reply that goes out matches what's actually free.
• How do deposits and invoicing actually work, and do we get the money or do you sit on it?
  Openevent generates the offer, the contract and the invoice from the same record, and collects the deposit by card link the moment the client confirms. Payments settle to your account through Stripe, Openevent never holds your money. Our 1%* fee comes off processed payments only.
• Can we manage multiple function rooms and multi-day events?
  Yes. Every function room is its own bookable space on the shared calendar, and a single event can span several rooms and multiple days, the gala in the ballroom, breakouts in the meeting rooms, with one offer, one contract and one running total.
• Can we produce a function sheet (BEO) for the operations team?
  Yes. Once an event is confirmed, the timings, covers, set-up, menus and AV flow into a function sheet the operations team works from, built from the same record your sales team created, so nothing gets re-typed between sales and ops.
• We're already on Delphi, Cvent or Tripleseat. What does switching actually look like, and are we locked in once we move?
  Migration: we import your accounts, contacts and active opportunities; your team keeps working in parallel until the cutover is clean. Contracts: month-to-month, no auto-renewal traps, and your data leaves with you in a usable format if it ever doesn't work out.
